Privacy Policy
Last updated: August 2, 2026
ListifyPDF ("we", "us") provides software that real estate professionals use to create property brochure PDFs. This policy explains what personal information we collect, why we collect it, who receives it, how long we keep it, and how you can access or delete it.
We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA). Our practices follow the ten fair information principles in Schedule 1 of that Act.
1. Who is responsible for your information
ListifyPDF is accountable for the personal information under its control. Questions, access requests and complaints can be sent to our Privacy Officer at support@listifypdf.com.
2. What we collect and why
| Information | Why we collect it | Legal basis |
|---|---|---|
| Name, email address, password (hashed) | To create and secure your account and to contact you about your service | Consent / necessary to provide the service |
| Agent profile: brokerage, phone, licence number, website, photo, logo, social links | To populate the brochures you generate | Consent - you choose what to enter |
| Listing content: addresses, prices, descriptions, property photos | To generate and store your PDFs | Necessary to provide the service |
| Billing data: plan, subscription status, payment records | To manage your subscription and meet tax/accounting obligations | Contract and legal obligation |
| Technical data: IP address, browser type, usage and error logs | Security, fraud and abuse prevention, and improving the service | Legitimate business interest |
| Support and feedback messages (and any screenshot you attach) | To answer you and improve the product | Consent |
We do not sell your personal information, and we do not use your listing content or photos to advertise to third parties.
3. Payment information
Card payments are processed by Stripe. Your full card number never reaches our servers and we cannot see it. We retain only the subscription status, plan, amount and Stripe identifiers needed for billing and records. See Stripe's privacy policy at stripe.com/privacy.
4. Who receives your information
We share personal information only with service providers who need it to run ListifyPDF, and only for that purpose:
- Stripe - payment processing and subscription billing.
- Hostinger - server hosting and email delivery for our domain.
- AI text provider - if you use AI description generation, the listing details you submit are sent to generate that text. Do not include personal information about third parties in those fields.
Some providers process or store data outside Canada, including in the United States. While data is in another country it may be accessible to the courts and law enforcement of that country. We use providers that offer comparable protection by contract.
We may also disclose information where required by law, or to establish or defend a legal claim.
5. How long we keep it
| Category | Retention |
|---|---|
| Account and profile | While your account is open, then up to 12 months after closure |
| Listings, photos and generated PDFs | Until you delete them, or up to 12 months after account closure |
| Billing and tax records | 7 years, as required by Canadian tax law |
| Support and feedback messages | 24 months |
| Security and access logs | 12 months |
6. Your rights - access, correction and deletion
You may, at any time:
- Access the personal information we hold about you and be told how it has been used and to whom it has been disclosed;
- Correct anything inaccurate or incomplete - most fields can be edited in Settings;
- Withdraw consent or ask us to delete your account and data, subject to legal retention above;
- Complain about how we handled your information.
Email support@listifypdf.com with the subject "Privacy request". We respond within 30 days, at no cost. We may ask you to confirm your identity first. If you are not satisfied with our response you may contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.
7. Safeguards
We protect your information with HTTPS/TLS in transit, hashed passwords (never stored in plain text), access controls that scope every record to its owner, and restricted administrative access. No system is perfectly secure, but we review these measures regularly.
8. Marketing emails
We send service emails (receipts, password resets, security notices) because they are needed to run your account. Product-update emails are optional - every one has an unsubscribe link, and you can also use our unsubscribe page. This complies with Canada's Anti-Spam Legislation (CASL).
9. Children
ListifyPDF is a business tool and is not directed at anyone under 18. We do not knowingly collect information from children.
10. Changes
If we make a material change we will update the date at the top of this page and, where the change is significant, notify you by email.
